Why MBA-SLC Uses Smith.ai and GoReminders to Provide Better Customer Service

Mattress By Appointment Salt Lake City Sales Binder With Headphones

At Mattress By Appointment Salt Lake City, the customer is all that matters. The customer matters more than any legal entity, sales margin, or ad copy. Even if it means taking advantage of new technology that looks to some like cutting corners, MBA-SLC does whatever it takes to achieve its mission of quality service to those who need it most.

This is a personal message from the MBA-SLC sole owner and operator, Michael McFall:

Automation is often described as impersonal. When people encounter an AI receptionist, an online booking page, or an automated text-message reminder, they may assume that the business owner is trying to avoid customers or reduce the amount of effort invested in customer service.

That is not why I use these systems at Mattress By Appointment Salt Lake City.

I use Smith.ai and GoReminders because I operate MBA-SLC largely by myself, and I refuse to treat that as an excuse for disorganization, missed messages, inconsistent communication, or lower service standards. I want customers to have more than one convenient way to contact the business, receive accurate information, schedule an appointment, manage that appointment, and prepare for a productive showroom visit.

Smith.ai and GoReminders do not replace my personal involvement. They support it.

They help me keep overhead controlled while maintaining the kind of organization and responsiveness customers should expect from a professional business. They also give me more time to focus on the work that requires my direct attention: preparing the showroom, helping customers compare mattresses, managing inventory, improving the business, and spreading the word about MBA-SLC’s mission.

Smith.ai Is My Customer-Facing Receptionist

Smith.ai serves as the AI receptionist for customer-facing calls to MBA-SLC.

It is not merely a generic automated voice that asks callers to leave a name and phone number. I have trained the receptionist using a detailed body of information about the business, including a FAQ containing approximately 50 questions and answers and a comprehensive list of business profile entries.

Those materials cover the subjects a reasonable new customer may want to understand before visiting the showroom.

A caller may want to know how appointments work, which mattress sizes are available, whether payment plans are offered, how delivery works, what accessories are available, what the showroom experience is like, or how MBA-SLC differs from a conventional mattress store. Smith.ai is trained to answer those questions using information I have personally supplied and reviewed.

This is important because unanswered questions create unnecessary friction.

A prospective customer may be calling during a work break, while caring for children, after discovering an urgent need for a replacement mattress, or while comparing several stores. If that person cannot get a basic question answered, the opportunity may be lost before I ever know the call occurred. Smith.ai is available twenty-four hours a day, seven days a week, to answer your call.

There are also many situations in which I may be temporarily unable to answer the telephone myself. I may already be helping a customer, moving a mattress, receiving an order, coordinating delivery, working with a supplier, updating the website, or handling another part of the operation.

Smith.ai helps ensure that callers are not simply abandoned because I happen to be unavailable at that exact moment.

Smith.ai Helps Me Prepare for Better Appointments

Smith.ai does more than answer questions. It is also scripted to ask callers the questions I need answered before a showroom appointment.

The receptionist can collect the customer’s preferred mattress size, approximate budget, desired appointment time, contact information, and other practical details that may affect the visit.

This information is kept on record in the call transcript so I can review it while preparing for the appointment.

That preparation makes the appointment more effective for both the customer and me.

It helps me to know in advance whether someone is looking for a twin, full, queen, or king mattress. It helps me understand whether the customer is seeking a basic budget model, a durable midrange mattress, a premium option, or a lease-to-own payment arrangement. It also allows me to anticipate whether the customer may need a mattress protector, platform, foundation, or delivery service.

Instead of beginning every appointment with a long administrative interview, I can begin with a general understanding of what the customer needs.

That does not mean I treat the transcript as a substitute for listening. Customers may change their minds, clarify their preferences, or discover that a different mattress feels better once they arrive. My role is still to pay attention, answer questions, and help each customer make an informed decision.

The transcript simply allows me to begin the appointment better prepared.

It also reduces the risk of human error. Telephone conversations can move quickly. A caller may mention several important details within a few minutes. Without a written record, it would be easy to forget a preferred time, misremember a mattress size, or overlook a budget concern.

The call transcript gives me a reliable reference point and reduces the chance that the customer will need to repeat information unnecessarily.

GoReminders Is a Separate, Low-Friction Booking Option

Not every customer wants to call a receptionist.

Some people prefer to arrange appointments online. They may be at work, browsing late at night, sitting near sleeping family members, uncomfortable speaking with an AI receptionist, or simply accustomed to using self-service booking pages.

For those customers, GoReminders provides a low-friction alternative.

The GoReminders booking page allows a customer to select an available appointment time and provide the necessary information without first calling Smith.ai. It gives the customer a direct path from initial interest to a scheduled showroom visit.

This distinction is important.

GoReminders is not an intermediary step between a Smith.ai call and an appointment. A customer does not need to call Smith.ai before using the booking page. Smith.ai and GoReminders are separate entry points into MBA-SLC’s appointment process.

Customers who want a guided conversation, detailed answers, or help explaining their needs can call Smith.ai.

Customers who prefer a fast, self-directed process can book online through GoReminders.

Both options lead toward the same objective: a well-organized appointment in which I understand what the customer is looking for and can prepare accordingly.

This choice also reflects the way people actually communicate. Some customers are comfortable speaking on the phone. Others strongly prefer text messages and online forms. A business should not make either group feel that its preferred communication method is wrong.

By offering both options, I can accommodate a wider range of customers without forcing everyone through the same process.

GoReminders Reduces Friction Before and After Booking

The value of GoReminders begins with the booking page itself.

Many customers do not want to leave a voicemail and wait for a callback. They may not want to explain their schedule verbally or exchange several messages before finding an available time. The booking page gives them immediate access to the appointment calendar and allows them to make a decision while their interest is still active.

Every additional step between a customer’s initial interest and a confirmed appointment creates another opportunity for the customer to become distracted, postpone the decision, or visit another store.

A direct booking page shortens that process.

After the appointment is scheduled, GoReminders sends automated SMS messages that make confirming, cancelling, or rescheduling as easy as possible.

People have busy and unpredictable lives. Work schedules change. Transportation problems happen. Children become sick. Family obligations arise. A customer may schedule an appointment several days in advance and simply forget the exact time.

I do not believe a customer should be judged for needing to reschedule. I also do not want changing an appointment to become awkward or unnecessarily complicated.

The purpose of GoReminders is to make communication easier.

A customer should be able to confirm an appointment, cancel it, or request another time without searching through the website, waiting on hold, or restarting the entire scheduling process.

The reminder system also helps me avoid preparing for appointments that are no longer likely to occur. When I know that a customer is coming, I may adjust my schedule, review the information provided, organize the showroom, identify relevant models, and make sure I am ready to give that customer my full attention.

A missed appointment can therefore represent more than an empty time slot. It can also mean that time and preparation were spent on a meeting that never happened.

Automated reminders reduce that risk without pressuring customers. They simply create an easy opportunity to communicate.

GoReminders Also Helps Me Request Customer Reviews

GoReminders can also send follow-up text messages asking customers to leave Google reviews.

This is important for a young local business.

A business can make any number of claims about its values, service, or products, but prospective customers should not have to rely entirely on what the owner says. Reviews allow real customers to describe their experiences publicly.

Positive reviews help demonstrate that MBA-SLC provides genuine value and takes its responsibilities seriously. Constructive criticism can also show me where some aspect of the customer experience may need improvement.

I want MBA-SLC’s reputation to be based on evidence.

I regularly describe the business as being created for working people. That claim should be supported by the experiences of customers who have visited the showroom, worked with me directly, purchased mattresses, and evaluated the service for themselves.

Review requests help create that public record.

They are not meant to pressure anyone into writing praise. They simply make it easier for satisfied customers to share what happened.

Automation Is Not Laziness

Some people may argue that using an AI receptionist, an automated booking page, reminder messages, and review requests is a form of laziness.

That argument would be in grave error.

MBA-SLC is a solo operation that makes extensive use of third-party partnerships and automated systems to keep overhead low without compromising quality.

I am responsible for nearly every major part of the operation.

I manage the showroom. I help customers. I coordinate appointments. I order and track inventory. I maintain the website. I manage business listings. I communicate with suppliers and service providers. I oversee advertising. I write content. I update policies. I monitor the performance of the business. I work to improve the customer experience and spread the word about MBA-SLC’s mission.

The use of automation does not mean less work is being performed.

It means repetitive, time-sensitive, and administrative tasks are being supported by systems designed to perform them consistently.

A large retail chain may have receptionists, scheduling staff, sales associates, marketing departments, inventory teams, customer-service representatives, managers, and administrative employees.

I do not have a large payroll or corporate staff.

The responsible response is not to pretend that one person can perform every function simultaneously without delay or error. The responsible response is to build a system in which specialized partners and reliable technology support the work.

Smith.ai and GoReminders are part of that system.

Low Overhead Should Not Mean Low Standards

Keeping overhead controlled is essential to the way I have structured MBA-SLC.

The business was created to serve people who may not have several thousand dollars available for a heavily marked-up retail mattress. I cannot claim to care about affordability while building an unnecessarily expensive operating structure that customers must ultimately pay for.

Large retail prices often support more than the product itself. They may also support large buildings, commissioned sales teams, management structures, corporate advertising, and layers of administrative payroll.

I have chosen a different model.

I use a modest showroom, direct owner involvement, third-party partnerships, and carefully selected automated systems. This allows me to provide capabilities normally associated with a larger organization without recreating the same overhead.

Smith.ai and GoReminders help me remain accessible, organized, and responsive without adding expenses that could eventually contribute to higher prices.

That is not a rejection of personal service.

It protects personal service by preventing administrative demands from consuming all of my available time.

These Systems Help Mitigate Human Error

Human beings forget things.

Messages can be written down incorrectly. Appointment times can be confused. Important details can disappear into voicemail, notebooks, text threads, or memory.

Automation helps reduce these risks.

Smith.ai creates a transcript I can review. GoReminders gives customers a direct booking option, sends appointment information consistently, and provides an easy way to confirm, cancel, or reschedule.

These systems help me make excellent service more standard and universal.

A customer should not receive better service merely because they called during a quiet moment. Another customer should not receive worse service because I happened to be moving inventory, helping someone in the showroom, or handling an urgent business matter.

Every reasonable caller deserves access to accurate information.

Every online visitor deserves a simple way to book.

Every scheduled customer deserves a clear reminder.

Every completed customer deserves a convenient opportunity to provide feedback.

Automation helps me apply those standards consistently.

Being a Solo Operator Is No Excuse

The fact that MBA-SLC is a solo operation is absolutely no excuse to undercut quality or lower standards.

Customers should not have to accept disorganization, missed calls, poor appointment management, or inconsistent information simply because they are dealing with a small business.

Being small creates limitations, but those limitations should be addressed through thoughtful systems rather than passed on to the customer.

I believe working people deserve professionalism, preparation, transparency, convenience, and respect. To operate in discordance with those standards would be incongruent with MBA-SLC’s philosophy and mission.

Smith.ai and GoReminders help me uphold those standards.

They help make sure questions are answered, information is recorded, appointments can be booked through more than one channel, reminders are sent, schedules can be changed, and customer feedback is invited.

The technology is automated.

The commitment behind it is entirely personal.
